Asset Transfer

The Asset Requests & Transfers module enables warehouses to request, send, receive, and track machines between locations, ensuring only inactive machines are transferred and all movements are easily managed in one place.

Request Assets 

This feature allows users to request machines from one or more warehouse locations. The request can be for a single asset type or multiple types. The system ensures machines that are active in production cannot be transferred. Only inactive machines from the selected warehouse(s) will be listed. 

Step 1: Choose the ‘Request From’ Type
  1. One Location: If you're requesting from a single warehouse.
  2. Multiple Locations: If you're requesting from more than one warehouse.
If you select One Location, a Location dropdown will appear. Select the desired warehouse location.

Step 2: Choose the ‘Requesting Type’
  1. Single Type: If the request is for only one machine type.
  2. Multiple Type: If you're requesting different types of machines.
If you select Single Type, an Asset Type dropdown will appear. Only inactive machines from the selected warehouse will be shown here, as active machines in production cannot be transferred.

Step 3: Under Select Assets, click “+ Add New” to add asset request entries.
  1. Location: The warehouse you are requesting the asset from. (Note: Depending on your previous selections if you selected "One Location", the selected Location will be auto-filled.)
  2. Asset Type: The machine type you are requesting. (Note: Depending on your previous selections if you selected "Single Type", the selected Asset Type will be auto-filled.)
  3. Available: Auto-populate the number of inactive machines available for the selected warehouse.
  4. Required: Enter the required quantity of machines you want to request. This quantity should be less than Available quantity. 
Step 4 (Optional): If needed, use the Comment field to provide additional information or context about the request.

Step 5: Click Submit.

Transfers Orders

Displays all the asset transfer requests made by your warehouse.

To Send

Displays all assets requested from your warehouse by other warehouses. Require engineer and financial approval to select & dispatch. 
Note: First require Engineer approval and then Finance approval.
  1. Cancel Rejects the transfer request.
  2. Select & Dispatch – Choose which machines to send from the available ones and dispatch them.

Step 1 - Click "Select & Dispatch".
Step 2 - In the pop-up window, choose which machines to dispatch from the available ones.  Only the requested quantity can be selected from the dropdown.


Step 3 - If the assets need to be returned on or before a specific date, tick the "Return Expected" checkbox and select the return date.
Step 4 - Click "Update".

To Receive 

Displays all asset transfers dispatched from the sender’s warehouse that are to be received at your warehouse. When the assets arrive, click 'Receive Assets' to add them to your warehouse inventory.

Sent 

Displays all the asset information which were sent from your warehouse to others.

Received 

Displays all the asset information which were received to your warehouse.

To be Returned

Displays all assets received from other warehouses that need to be returned. The Return Date column indicates when the machine is expected to be transferred back.

How to Update Rent Information
To update rent details such as the rent start date, rent end date, or rent rate, follow the steps below:

Step 1: Navigate to Assets → All Assets.
Step 2: Click on the Edit Asset button for the machine you want to update.
Step 3: Tick the "Change Rent Information" checkbox, update the details, and click Submit.


Inactive or In-Transit 

Displays all assets that are either inactive or currently in transit. You can manually update the asset status and rental information by clicking the "Edit Asset" button.
You can also tick the "Disable Transfer" checkbox to prevent the asset from being transferred.
