Needle Transaction Management & Reporting Guide

How to Submit a Needle Transaction

In Needle IRC Utility you can Change, Return and Issue under the same section. Follow the steps below to complete needle transactions. Each transaction must be submitted with accurate details for proper inventory tracking.

Step 1: On the left-hand side, select “IRC Utility” and under that select “IRC Utility”


Step 2: Choose the type of transaction:
  • Issue: To issue needles to employees in their warehouse.

  • Change: To change needles on a machine. A change can only be performed if a needle has previously been issued to an asset within the same warehouse.

  • Return: To return needles to inventory. A return can only be performed if a needle has previously been issued to an asset within the same warehouse.

Step 3: In the Issue To dropdown, select the employee responsible for the transaction.

Step 4: You will find two checkboxes here:
  1. Environment: This field is mandatory. When you tick this checkbox, it enables you to select the production line associated with the machine.
  2. Asset: This field is optional. When you tick this checkbox, it allows you to auto-populate the assets field for all the rows in the transaction. This is used when all your rows in the transaction involve the same machine.

Step 5: In the Line/Env. dropdown, select the production line.  For returns, after selecting the line, you will see an "Auto Populate" checkbox. When checked, it will automatically generate a list of all available needles in the item field below. Please note that this process may take a few seconds to populate.


Step 6: In the Asset dropdown, select the machine. This field will appear only if the Asset checkbox is ticked. 

Step 7: Check on "Include Supervisor" if you would like to notify the supervisor about the transaction. If there is no supervisor assigned to the specific line you can add one by clicking on 'Click here to edit Supervisor".

Step 8: Under the Items section, click “Add New” to provide detailed information for the needle transaction:

  1. Asset: Select the machine associated with the transaction.
  2. Select an Item from Options: Select the needle.
  3. Qty in Asset: Shows how much quantity of selected needle is already in the machine. 
  4. Available: Automatically update the number of needles available in the inventory for the selected needle type.
  5. Qty: Enter the quantity of needles required. This will only allow you to enter a value less than or equal to the maximum permitted quantity of the machine.
  6. Reason: Select a valid reason for the transaction.
  7. Recycle Bin Icon: This option appears only for return transactions. If the returned needle can be reused, tick the checkbox below the recycle bin icon.
  8. Price (USD): The unit price per needle will automatically updated based on the selected needle type.
  9. BIN Number: Auto-update storage BIN of the selected needle.


Step 9:
Once all necessary information is entered, click Submit to complete the transaction.


Needle IRC Entries 

In this report, you can view a summary of all issued, returned, and changed needle transactions. It displays the type of each transaction to help you identify its purpose.

Issued Needle Report

In this report, you can view detailed information for each issued needle transaction. It includes all the details you have entered from the IRC Utility section along with the IRC ID.

Changed Needle Report

Here, In this report, you can view detailed information for each changed needle transaction. It includes all the details you have entered from the IRC Utility section along with the IRC ID.

Returned Needle Report

In this report, you can view detailed information for each return needle transaction. It includes all the details you have entered from the IRC Utility section along with the IRC ID.

MRM Report

The MRM Report displays a structured overview of all the needle related details, grouped by production line and machine. This report allows users to quickly identify and track which specific needles are installed in which machines, along with their associated needle quantities.

All Needle Transactions 

This report provides row-by-row transaction details for each needle, allowing you to easily track individual needle-related activities.

Legacy All Transaction

This report contain all the needle transaction details from version 1.

Inventory Field Definitions 

The following fields are found across different reports and pop-up windows in the Inventory module.
  1. SKU: Stock Keeping Unit; a unique identifier for each needle type.
  2. Added Time: The date and time the transaction was made. 
  3. Needle Transaction ID: A unique ID for each transaction.
  4. Transaction Type: The type of transaction (e.g., Issue, Change, Return).
  5. Reason: The reason for the needle transaction.
  6. Product Name: The name of the needle issued.
  7. Part No.: The part number of the needle.
  8. Qty: The quantity of needles issued.
  9. Issued To: The name of the employee to whom the needle is issued.
  10. Issued By: The name of the employee who issued the needle.
  11. Barcode: The barcode associated with the machine.
  12. Machine: Barcode - Service Barcode - Machine Name.
  13. Machine Name: The name of the machine to which the needle is issued.
  14. Line Data: The production line associated with the employee.
  15. Shift: The shift during which the employee works.
  16. Price (USD): The unit price of the needle in USD.
  17. Sub Total: Unit price multiplied by quantity.
  18. Supervisor: The supervisor of the associated employee.
  19. Warehouse: The warehouse location of the employee.
  20. Transaction Status: The status of the transaction. (e.g., Completed, Pending).
  21. ♻ Indicates whether the returned needle can be reused or not.
